1. Who is responsible for your data at IRONWOOD TRADE LIMITED

IRONWOOD TRADE LIMITED operates the headwhitbona marketplace and is the data controller for the personal data described in this policy. 2. What we collect

We only ask for information that lets us answer you, ship an order and keep the site working. In practice that means:

• Contact form details. When you send us a message through one of the site forms, we receive the name, email address, the topic you selected and the message you wrote. Some forms also let you add a phone number and an order number.
• Order details. When you place an order we receive the delivery address, billing address, the products ordered and the payment confirmation reference. Full card numbers are handled by our payment service provider and are not stored on our systems.
• Support correspondence. Emails, messages and attachments you send us while we handle an order, return or brand application.
• Technical information. Your browser type, device type and the pages you requested, collected in an aggregated form so we can see which product pages cause slow loading. Our hosting and security providers also keep server-side request logs, such as the requested address, the time of the request and a truncated network identifier, for security purposes.
• Local storage preferences. A single value stored in your own browser recording whether you accepted or declined the storage banner. This never leaves your device.

3. Why we use it and on what basis

We rely on three lawful bases under applicable privacy law:

• Performance of a contract. Processing your order, packing and shipping it, handling returns and refunds, and answering messages about an existing order.
• Legitimate interests. Improving product descriptions, planning stock, preventing fraud and abuse, and understanding which pages are useful. We balance this against your expectations of privacy.
• Consent. Sending marketing email where you asked to receive it. You can withdraw consent at any time, and the withdrawal does not affect processing that already happened.

4. Who else handles your data

IRONWOOD TRADE LIMITED does not keep your data to ourselves. To run a working online store we rely on service providers who process information on our instructions, including:

• Payment processors that authorise and settle transactions and return confirmation references to us.
• Carriers and logistics partners that receive a delivery address and parcel details in order to deliver an order.
• Cloud hosting and content delivery providers that store the site files and deliver them to your browser.
• An email delivery provider used for order receipts, dispatch notices and replies to your messages.
• Our website analytics provider, which records aggregated page views and device information.

Each provider is bound by contract and may only process data for the purpose we have instructed. We do not sell personal data, and we do not share it with advertisers.

5. How long we keep it

• Order and return records: kept for the period required by US tax and accounting rules, generally seven years.
• Messages that do not relate to an order: kept for up to 24 months so we can follow up if something is still unresolved.
• Brand applications that are not accepted: kept for 12 months, then deleted.
• Technical logs: kept for up to 14 months.
• The storage preference in your browser: kept until you clear your browser storage.

6. Your rights

Depending on the state you live in, you may ask us to:

• Give you a copy of the personal data we hold about you.
• Correct anything inaccurate in that data.
• Delete data we no longer have a reason to keep.
• Limit how we use certain data, including data used for marketing.
• Receive your data in a portable format.
• Opt out of the sale or sharing of personal information, and of targeted advertising. IRONWOOD TRADE LIMITED does not sell or share personal information as those terms are defined under state privacy legislation.

7. Security

Traffic on headwhitbona.com is encrypted with TLS. Studio workstations use full-disk encryption and screen locks, access to customer records is limited to the staff who need it, and every member of the team signs a confidentiality agreement. No system is perfectly secure, but we treat a breach as a reportable event and would notify affected buyers and the relevant authority as the law requires.

8. Children

The marketplace is intended for adults and is not directed at children under 16. We do not knowingly collect personal information from children, and if we learn that a child's information reached us we delete it promptly.

9. Changes to this policy

We revise this policy when our processing changes or the law requires it. The date at the top of the page shows the current version, and material changes are announced by email to buyers who have an account.
